Record decisions, not every sensation
Useful records answer future questions: Which colonies need feed? Which queen lines survived? Did a mite treatment work? What did a crop or product cost? A long narrative that cannot be compared may be less valuable than ten consistent fields. Start with colony identifier, date, queen status, brood and adult strength, stores, mites, action taken, and next due date.
Design the system around the apiary workflow. Weather and location can be entered once for a yard visit, while exceptions are noted by colony. Use codes only if every worker understands them. Voice notes and photographs can capture unusual conditions, but convert important findings into searchable fields. A record that remains on a glove or in an unlabeled phone image will not guide management.
Give every colony a durable identity
Box numbers are poor colony identifiers because equipment moves. Assign an ID to the biological colony and track transfers, splits, combinations, and queen changes. Label equipment separately for inventory. When a split is created, link it to the donor and note which unit retained the original queen. This lineage prevents records from becoming fiction after normal management.
Track queen source, introduction date, color or mark, maternal line, acceptance, brood pattern, temperament, and final outcome. Do not assume the current queen is the one introduced if supersedure occurred. Mark uncertainty explicitly. Over time, survival and performance by queen source become far more informative than anecdotes about one exceptional hive.
Integrate health measurements
Record mite sampling method, bee sample size if relevant, count, result, and colony brood condition. Add treatment product, lot when useful, dose, temperature, start and removal dates, supers status, and follow-up result. Writing treated without those details cannot demonstrate legal compliance or effectiveness. Preserve labels and follow current regulations.
Disease observations should distinguish suspected from confirmed. Photograph unusual brood and seek an inspector or diagnostic laboratory when warranted. Record movement of brood and equipment so contacts can be traced. Health data are valuable only when poor results trigger tasks. A dashboard or paper list should surface overdue samples and treatment checks automatically.
Connect biology to money and labor
Add harvest weight by colony or yard at the level practical for the operation, along with feed, queens, treatments, travel, and major labor events. Perfect cost accounting per hive may be unrealistic, but yard or enterprise totals reveal which activities pay. Record pollination preparation separately from honey production when the same colonies serve both.
Time a few representative tasks rather than guessing labor. Include setup, driving, cleanup, and administration, not only minutes with a hive open. Equipment losses, winter mortality, and unsold inventory also have costs. Linking production to inputs helps distinguish a high-yield colony from one that consumed extraordinary resources and identifies services priced below their true workload.
Review on fixed rhythms
At the end of each visit, create a task list with owners and dates. Weekly, check overdue queen, feed, and mite actions. Seasonally, summarize survival, requeening success, treatment performance, honey, nucleus sales, and labor. Annually, archive data and keep a backup in a different location. Export from proprietary apps periodically so business history is not trapped.
Use records to change one or two management choices each year. If a field is never reviewed, remove it. If a recurring question cannot be answered, add a field. Consistency beats technological complexity: a weatherproof notebook used at every inspection can outperform an elaborate abandoned app. The best system shortens future decisions and preserves evidence when employees, customers, regulators, or memory require it.
